Please note: We offer transferable deposits that can be transferred to an alternative date or destination.

TOUR BOOKINGS

Currency: All tour prices are quoted and displayed in New Zealand Dollars (NZD), including New Zealand Goods and Service Tax (GST) of 15%. An inflation fee may apply due to external influences, which vary based on tour length, guests, and time of year. We will inform you if your tour is subject to this additional fee.

Deposit/Booking Fee:

A deposit/booking fee of 10% is required at the time of booking, which includes $500 per person booking for Aroha Luxury New Zealand Tours Ltd to make necessary arrangements for the itinerary. These fees cover the cost of itinerary planning services and securing client bookings.

Please note that certain luxury lodges, activities, and accommodations may have their terms and conditions that are separate from our own, which may include additional rules, restrictions, and policies that must be adhered to during your stay, as well as specific forms of payment that may be required, such as advance payment.

We will make every effort to inform you of such terms and conditions before your booking, but ultimately it is your responsibility to review and understand them.

Payments/Cancellation:

The final balance payment is due 45 days before general bookings and 60 days before arrival for VIP bookings/Lodge facilities. In high season (December/January), prices for premium lodge facilities are due 90 days before arrival.

Cancellation fees apply, with 50% charged for general bookings between 30-14 days and 100% for cancellations within 14 days of arrival. For VIP bookings, 100% of the balance is charged for cancellations within 30 days of arrival. Please note that some VIP lodges have additional, more stringent terms and conditions, which will be indicated and informed on the day of booking. 

If the tour is cancelled, the $500 per person will not be refunded to cover the cost of services and bookings. However, these funds may be transferred onto another tour booked with us later.

Refunds may not be guaranteed for travel partners. Therefore, we strongly recommend purchasing trip insurance and note that bank fees are non-refundable.

DOMESTIC FLIGHTS:

General domestic flight tickets will be charged upon booking and are non-refundable. However, Flexi Plus fares may be refundable until departure, as indicated in the paid inclusion. This also applies to tickets booked for the tour guide, which are needed to get to the proposed location in each itinerary.

RISKS:

Adventure activities have an element of risk, and all clients must acknowledge that there is no guarantee of safety. Aroha New Zealand Tours Limited reserves the right not to run any activity if, in our opinion, the circumstances make a move too dangerous (e.g. weather conditions, flooded rivers, etc.).

ACTIVITIES:

Our tour packages include various activities to enhance your New Zealand experience. You can participate in as many or as few moves as you wish. If weather or safety restrictions occur, we will provide alternative options.

TRANSPORT:

For guided tours: We use new, sustainable and luxurious vehicles that are dependable, practical, and efficient. Our vehicles are equipped with the latest low-emission and road safety technology, providing ample legroom for comfort.

Guiding:

During your tour, you will be accompanied by an experienced and trained Aroha NZ Tour host (driver/guide) who holds a licensed passenger endorsement driver's license, has legal approval to drive paying passengers and has a first-aid certification. They will take care of all your personal needs and essential details, allowing you time to relax and enjoy your unique experience.

SUPPORT:

We provide detailed pre-trip information, including passport and visa requirements (if needed), packing tips and general travel information for New Zealand. Our office staff will help you plan every aspect of your trip and our local team is available 24/7 during your stay. We also offer a 'meet and greet' service to all our clients, regardless of whether you choose a self-drive or private guided tour experience.

LIABILITY:

Aroha New Zealand Tours Limited takes all reasonable steps to provide an enjoyable tour. However, we sometimes travel through areas severely affected by weather conditions, causing disruptions to itineraries and schedules. In this event, assistance will be provided to construct alternative arrangements when and where practicable. Nevertheless, no liability is accepted for either disruption or if any operator temporarily withdraws a service for whatever reason. Aroha New Zealand Tours Limited is not liable for any event beyond our control, including (but not limited to) war, severe weather conditions, natural disasters, industrial actions, etc. We do not accept any liability for failure by transport companies, hotel contractors, or other principals. Additionally, the disadvantages of air carriers and other principals participating in the tour are limited as specified in their tickets, conditions of contract, and carriage and tariffs. While we take all reasonable care in selecting operators whose services are included in your tour, e.g. hoteliers, airlines, and optional/booked tour excursions, we cannot accept responsibility for those operators' conduct or the conduct of their employees.

AMENDMENTS:

Modifications or alterations to the original booking will incur a charge of $500 unless it is for additional optional tours or extensions of your time. No order will be applied for these changes.

ACCOMMODATION:

We carefully select quality accommodations with excellent staff, policies, and standards. Modern hotel rooms include a private en-suite or a private bathroom.

DINING:

Many luxury lodges include pre-dinner drinks with canapés and a seasonal gourmet dinner at the club (as indicated in the package inclusions). Some luxury lodges also have a complimentary mini-bar, including domestic beers. We refer to each accommodation provider's terms and conditions for each stay. We will list recommended restaurants nearby if lunch and dinner are not included in the package. Our driver guides will transport you to and from the restaurant if you choose to dine out. However, due to their work obligations, they are not available as a general taxi service for late-night outings or pub visits. Lunch is generally not included, but some activities may include lunch as indicated in the itinerary and inclusions. Special dietary needs can be accommodated. For self-drive tours, lunch and dinner are generally not included unless specified in the itinerary or at the lodge where you may be staying. However, your accommodation provider can suggest suitable local restaurants.

Legal:

Legal costs may be incurred to recover the debt if any amounts remain outstanding. Aroha Luxury New Zealand Tours Ltd has the right to add legal fees incurred to the outstanding debt and rescue them from the client. In the event of legal action against the client, the client agrees to abide by any court or legal ruling under New Zealand jurisdiction. We accept payment by credit card for charges up to $5000, with a 3% surcharge. Failure to pay the deposit may result in the cancellation of travel arrangements.
