Currency: All tour prices are quoted in New Zealand Dollars (NZD), including 15% GST.
Inflation Fee: Additional fees may apply due to external influences, varying by tour length, guest numbers, and season. You will be notified if your tour is subject to this fee.
2. Booking & Payment Terms
- Standard Tours: 10% deposit required at time of booking
- Planning Fee: $500 per person (non-refundable) covers itinerary planning and securing reservations
- This fee may be transferred to another tour if the original booking is cancelled
- General Bookings: Final balance due 45 days prior to arrival
- VIP Bookings/Lodge Facilities: Final balance due 60 days prior to arrival
- High Season (Dec/Jan): Premium lodge payments due 90 days prior to arrival
- Third-Party Terms
- Luxury lodges, activities, and accommodations may have separate terms and conditions with additional requirements, restrictions, and payment policies. While we endeavour to inform you beforehand, you are responsible for reviewing and understanding these terms.
- 3. Cancellation Policy
- General Bookings
- 30-14 days prior to arrival: 50% cancellation fee
- Within 14 days of arrival: 100% cancellation fee
- Within 30 days of arrival: 100% cancellation fee
- Some VIP lodges have stricter terms, which will be communicated at time of booking
- $500 per person planning fee is non-refundable but transferable to future bookings
- Refunds not guaranteed for travel partners
- Travel insurance strongly recommended- we do not assist with this
- Bank fees are non-refundable
- Standard tickets: Charged at booking and non-refundable
- Flexi Plus fares: May be refundable until departure (as specified in inclusions)
- Applies to both client and tour guide flights required for the itinerary.
5. Activities & Risk Management
Adventure activities involve inherent risks. Participants must acknowledge that safety cannot be guaranteed.
We reserve the right to cancel any activity if conditions are deemed unsafe (weather, natural disasters, flooding, etc.).
- Take part in as many or few activities as desired
- Alternative options are provided when weather or safety restrictions apply

Tour Guide Qualifications
Experienced Aroha NZ Tour hosts possess:
- Licensed passenger endorsement certification
- Legal authorisation for commercial passenger transport
- Current first-aid certification
- 24/7 availability throughout your journey
7. Comprehensive Support Services
- Detailed travel information package
- Passport and visa requirement guidance
- Packing recommendations
- Complete trip planning assistance
- Meet and greet service (all tour types)
- 24/7 local team availability
- Personal assistance with all needs
8. Accommodation & Dining Services
- Carefully curated quality accommodations
- Professional staff with high service standards
- Modern rooms featuring private en-suite facilities
- Lunch typically not included (unless specified in itinerary)
- Local restaurant recommendations provided
- Special dietary requirements accommodated
- Guides unavailable for late-night transportation requests
Participant Responsibilities
- You are responsible for any damage caused to property or third parties during the tour.
We reserve the right to remove any participant from a tour due to disruptive or unsafe behaviour, with no refund.
9a. Zero Tolerance Policy
We maintain a strict zero-tolerance policy toward any form of abusive, aggressive, or discriminatory behaviour directed at our staff members, guides, or service providers. This includes but is not limited to:
- Verbal abuse or threats
- Discriminatory remarks or conduct (based on race, gender, religion, nationality, disability, sexual orientation, or any other protected characteristic)
Harassment or intimidation of any kind
Any violation of this policy will result in immediate termination of services without refund. Where necessary, incidents may be reported to relevant authorities.
10. Booking Modifications
Change Fees: $500 charge applies to booking modifications unless for:
- Additional optional tours
11. Liability Limitations
We do have liability insurance. We take all reasonable measures to ensure enjoyable tours, but cannot accept liability for:
- Weather-related itinerary disruptions
- Service cancellations by third-party operators
- Events beyond our control (natural disasters, industrial action, political unrest)
- Failures by transportation companies, accommodation providers, or other service partners
Actions or conduct of third-party operators or their staff
- When severe conditions impact planned itineraries, we will provide alternative arrangements where feasible.
12. Payment Terms & Legal Framework
- Credit card payments accepted (2.5% processing fee applies)
- Failure to pay the required deposits may result in booking cancellation
Debt Recovery & Jurisdiction
- Legal costs for debt recovery will be added to outstanding balances
- All legal matters fall under New Zealand jurisdiction
- Clients agree to abide by New Zealand court rulings
13. Information Disclaimer
Aroha New Zealand Tours Limited makes every reasonable effort to ensure the accuracy of all information provided but cannot be held responsible for any errors or omissions that may occur.
14. Governing Law and Jurisdiction
• This agreement is governed by the laws of New Zealand.
• Any disputes will be subject to the exclusive jurisdiction of New Zealand courts.
